Privacy Policy

LARP Camp Planner ("the service") is a tool for collaboratively planning tent layouts at LARP events. This policy explains what data we collect, why, and how it is handled.

Who operates this service

This service is operated by an individual volunteer for the purposes of LARP event planning. It is not a commercial product. If you have questions, contact admin@doubleandthrice.com.

What data we collect

• Account information: Your email address, display name, and password (stored as a bcrypt hash; we never store your plaintext password).
• Camp plan data: Tent placements, camping group names, road and plaza layouts, and related planning data that you or other crew members create. This data describes physical tent layouts and does not contain personal information about attendees.
• Session data: A session cookie to keep you logged in.

What data the mobile app stores on your device

The iOS/Android app stores the following locally on your device:

• Authentication token: Stored in secure device storage to keep you signed in.
• Cached camp plan: A copy of the camp plan for offline viewing.
• Pins: Any favourite locations you save. These are stored only on your device and are not uploaded to the server.
• GPS location: Used in real-time for the blue dot and the "Find" compass feature. Your location is never transmitted to our server or stored.
• Compass heading: Used by the "Find" feature to point you toward a target. This data stays on your device.

How camp plan data is shared

Camp plan data is visible to all crew members who have been invited to the same event. It does not contain personal information about event attendees. Access is controlled by invitation only.

How we use your data

• Your email address is used for account login and to send you invitations to events.
• Your display name is shown to other crew members so they can identify who made edits.
• Camp plan data is used solely for event planning and is shared among invited crew.

Third parties

• Email: Invitation and password reset emails are sent via IONOS SMTP.
• Map tiles: The map background uses static tiles hosted on our own server. No third-party map services receive your location or usage data.
• Font loading: The map uses fonts from OpenMapTiles (fonts.openmaptiles.org) for label rendering.

We do not use analytics, tracking, advertising, or any other third-party services.

Data retention

Your account and associated data are retained for as long as the service is in use. You may request deletion of your account and data at any time by contacting us.

Your rights

You may request access to, correction of, or deletion of your personal data at any time by emailing admin@doubleandthrice.com.

Changes to this policy

If this policy is updated, the revised version will be posted at this URL with an updated date.
